Warehouse Permissions for Sage 200

Warehouse Permissions for Sage 200 enhances user security to restrict access to the sales orders/purchase orders process in Sage 200.

  • Restricts which warehouses are available for specific users.
  • Restricts access to what sales orders/purchase orders the user can view depending on which warehouse the order is for.
  • Define which sales orders/purchase orders users may view depending on who created the order.

How does it work?

Two new settings screen are installed on the system which the system administrator can designate:

‘User Warehouses’ Screen

This allows a system administrator to designate which users are allowed to use/view which warehouses.  Individual users can be assigned to multiple warehouses if necessary (e.g. admin users who can use all warehouses).

‘Order Permissions’ Screen

A new ‘Order Permissions’ screen will be provided which allows user to be assigned permissions to open, view and amend orders that other users have created.  Individual users can be assigned permissions to open, view and amend orders created by multiple users if necessary (e.g. admin users who have permissions for all users).


Amendments to Order Entry Screens

All screens for entering and amending new sales or purchase orders and returns are customised as follows:

  • ‘By default supply from/to’ warehouse drop down will be filtered to display only those warehouses that the logged in user is allowed to use, as defined in the ‘User Warehouses’ screen. On the trade counter and rapid sales order entry screens this will result in available stock items being limited to items from the selected warehouse.
  • On the order line screen used to add/edit order lines in full order entry, the warehouse drop down will be limited to only those warehouses that the logged in user is allowed to use.
  • Copying of orders will be prevented where the order to be copied from uses a warehouse that the currently logged in user is not allowed to use.

Limiting Access to Existing Orders

When a user attempts to open an order for viewing or amendment, a check will be performed in the background to ensure that the order contains warehouses that the logged in user is allowed to use and also that the order was created by a user that the logged in user is allowed to view/amend orders for. If these conditions are not met then the user will be unable to open the order.
